Consultancy: Business Process Documentation/Mapping
INITIAL SCOPE OF WORK:
1. BACKGROUND
CMMB (Catholic Medical Mission Board, Inc.) provides long-term medical and development aid to communities affected by poverty and unequal access to healthcare. Focusing on women’s and children’s health, we deliver sustainable health services in targeted communities in Africa, Latin America and the Caribbean. For over a century, we have worked to strengthen and support communities through healthcare programs and initiatives, the placement of volunteers, and the distribution of medicines and medical supplies.
CMMB’s 2022-26 strategy, “Refine, Align & Shine,” calls us to focus on strengthening and ensuring effective, highly efficient business units as an organizational foundation in order to more fully and efficiently realize impact in our mission.
2. OBJECTIVES AND APPROACH
CMMB seeks assistance in fully understanding and documenting key business processes from end-to-end, with the desired result of strengthening and streamlining system operations across the organization. Internal and external reviews have suggested the need for more effective and efficient processes for procurement, budget analysis, strategic financial planning, and overall system interoperability, that are consistent, visible, mitigates risk, and improves agility.
We see the selected consultant(s) playing a role in identifying key pain points and requirements within use cases for each core business process through a series of discovery interviews and assessment of current systems’ functionality, noting dependencies and opportunities for improvement.
We see this step as crucial for fully understanding the core business needs across several functional areas and will seek to strengthen and/or acquire new systems to accommodate the desired end results. The selected consultant(s) will work in close collaboration with a designated internal team to facilitate timely execution and project management.
3. GOALS AND DELIVERABLES
3.1. Consultant Capabilities
- Knowledge of the nonprofit sector; experience working with nonprofit organizations with a multi-country presence, including countries in the Global South, would be especially beneficial
- Knowledge of USG rules, regulations, procurement, and reporting requirements a plus
- Knowledge of nonprofit business processes related to financial management (GAAP, etc.), fund accounting, procurement, budgeting, strategic financial planning and reporting, system integrations and infrastructure requirements
- Good grasp of current systems, technologies, and resources in the ERP marketplace for nonprofits, including common benefits, pitfalls, costs, and best practices for onboarding new or redesigned features, and opportunities for automating workflows
- Orientation to the user experience for each of these systems in the delivery of key results
- Expertise in business process documentation and visualization
- Good project management, systems thinking, problem solving skills
- Ability to quickly build rapport with teams from different backgrounds
- Availability in the coming months
3.2. Discovery Interviews
We anticipate the consultant(s) conducting discovery interviews with several key informants, with the support of a core working team. We anticipate interviews with:
- Country office staff (e.g. Kenya, South Sudan) on various teams (e.g. finance, program)
- US-based finance, IT and HR staff
- US-based program staff (inclusive of MDP)
- US-based fundraising staff
- US-based budget managers
- Other owners of key business processes
3.3. Documentation
We anticipate documentation of key current business processes, including sequencing, dependencies, pain points, gaps, redundancies, roles & accountabilities, minimum requirements, use cases and potential solutions for these areas (final list TBD):
- Strategic financial management, including fund accounting, payroll, AR/AP, and financial consolidation and reconciliation
- Human resource planning
- Budgeting and planning, including budget vs. actual reporting across various offices, programs, and departments, and associated project management linked to budgets/expenses
- Procurement
- Grant management
- Related/ancillary systems that contribute to the above business processes from end-to-end
